Purpose and Legal Basis for the Processing of Personal Data<\/strong><\/h3>\n

The purpose of this Privacy Notice is to describe how Nordic Bioproducts Group Oy processes applicants\u2019 personal data in connection with its recruitment processes.<\/p>\n

The purpose of processing personal data is to recruit employees for the Company\u2019s vacant positions. Personal data is processed to receive and assess applications, evaluate applicants\u2019 suitability, conduct the recruitment process, and communicate and otherwise correspond with applicants.<\/p>\n

The legal basis for processing personal data depends on the purpose of the processing. The primary legal basis for processing personal data in connection with recruitment is Article 6(1)(f) of the EU General Data Protection Regulation (EU 2016\/679, \u201cGDPR\u201d), namely the controller\u2019s legitimate interests. The Company\u2019s legitimate interests include conducting and managing recruitment processes, assessing applicants\u2019 suitability for vacant positions, and protecting the Company\u2019s rights and interests, including in connection with potential legal claims.<\/p>\n

Article 6(1)(b) of the GDPR may apply to the extent that the processing is necessary to take steps at the applicant\u2019s request prior to entering into a potential employment contract. Where processing is based on legitimate interests, the Company ensures that those interests are not overridden by the interests or fundamental rights and freedoms of the applicant.<\/p>\n

Applicants provide their personal data to the Company voluntarily as part of their job application. If an applicant does not provide information necessary for the recruitment process, the Company may be unable to assess the application or the applicant\u2019s suitability for the position.<\/p>\n

Categories of Data Subjects and Personal Data<\/strong><\/h3>\n

The register contains information provided by individuals applying for vacant positions at Nordic Bioproducts Group Oy in connection with the recruitment process, as well as information generated during the recruitment process.<\/p>\n

The following categories of personal data may be processed in the register to the extent necessary for the recruitment process:<\/p>\n

  • Basic information: first and last name and contact details, such as email address and telephone number.<\/li>\n
  • Information provided in the CV: education, work experience, language skills, competencies, professional qualifications and other professional information.<\/li>\n
  • Information provided in the job application: information supplied by the applicant that is relevant to the position applied for.<\/li>\n
  • Information relating to interviews and any suitability assessments.<\/li>\n
  • Referee information: contact details of referees nominated by the applicant in connection with the recruitment process.<\/li>\n
  • Application processing information: progress of the recruitment process, application status and information relating to the selection decision.<\/li>\n
  • Other information voluntarily provided by the applicant that is necessary for recruitment purposes.<\/li>\n<\/ul>\n

    The Company processes only personal data that is necessary for carrying out the recruitment process.<\/p>\n

    Sources of Personal Data<\/strong><\/h3>\n

    Personal data is primarily obtained directly from the applicant.<\/p>\n

    Applicants provide their information by submitting a job application and CV to the email address designated by the Company for recruitment purposes, careers@nbg.fi, or by another separately specified method.<\/p>\n

    During the recruitment process, information may also be collected from referees nominated by the applicant or from other sources (such as LinkedIn), in accordance with applicable legislation and data protection requirements.<\/p>\n

    Applicants will be informed about information collected from sources other than the applicants themselves and its use in accordance with applicable legislation.<\/p>\n

    Disclosure and Transfer of Personal Data<\/strong><\/h3>\n

    Personal data may be processed by those Company employees who participate in the relevant recruitment process and whose work duties require them to process the data.<\/p>\n

    Personal data may also be processed by service providers engaged by the Company to the extent necessary for carrying out the recruitment process. The Company ensures that appropriate data processing agreements are in place with such service providers.<\/p>\n

    Personal data will not be disclosed to external parties without an appropriate legal basis or a statutory obligation.<\/p>\n

    Personal data is not routinely transferred outside the EU or the European Economic Area (EEA). If personal data is transferred outside the EU or the EEA, the transfer will comply with the requirements of the GDPR and appropriate safeguards will be used where necessary.<\/p>\n

    Retention Period for Personal Data<\/strong><\/h3>\n

    Job applications and related personal data are retained during the recruitment process and after its conclusion only for as long as necessary to fulfil rights and obligations relating to recruitment and to handle any potential legal claims.<\/p>\n

    Personal data is not retained for longer than required by its purpose of use and applicable legislation. The Company\u2019s defined retention policy of six (6) months is followed for the retention and deletion of data.<\/p>\n

    If an applicant gives separate voluntary consent to the retention of their personal data for future recruitment purposes, the data may be retained for the period specified in the consent. The applicant may withdraw their consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.<\/p>\n

    Data Security<\/strong><\/h3>\n

    Personal data is processed electronically in the email account designated by the Company for recruitment purposes and, where necessary, in other secure information systems used by the Company.<\/p>\n

    Access to personal data is restricted to Company employees whose duties require them to process the data. All persons processing personal data are bound by confidentiality obligations.<\/p>\n

    The Company implements appropriate technical and organisational measures to protect personal data against unauthorised access, disclosure, alteration and destruction.<\/p>\n

    Automated Decision-Making and Profiling<\/strong><\/h3>\n

    The Company does not use automated decision-making within the meaning of Article 22 of the GDPR in its recruitment process and does not make decisions concerning applicants solely on the basis of automated processing of personal data.<\/p>\n

    Data Subject Rights<\/strong><\/h3>\n

    Applicants have the following rights under data protection legislation:<\/p>\n

    • The right to access their personal data and obtain a copy of the personal data being processed.<\/li>\n
    • The right to request the rectification of inaccurate or incomplete personal data.<\/li>\n
    • The right to request the erasure of personal data where there is no longer a legal basis for processing or another ground for erasure under the GDPR applies.<\/li>\n
    • The right to request the restriction of processing of personal data in the circumstances specified in the GDPR.<\/li>\n
    • The right to object to the processing of personal data where the processing is based on the controller\u2019s legitimate interests. The controller may continue processing if it demonstrates compelling legitimate grounds for the processing that override the interests, rights and freedoms of the data subject, or if the processing is necessary for the establishment, exercise or defence of legal claims.<\/li>\n
    • The right to receive their personal data in a structured, commonly used and machine-readable format and to transmit the data to another controller where the conditions laid down in the GDPR are met.<\/li>\n<\/ul>\n

      Where the processing of personal data is based on consent, the data subject has the right to withdraw their consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.<\/p>\n

      The data subject also has the right to lodge a complaint with a supervisory authority if they consider that the processing of their personal data infringes applicable data protection legislation.<\/p>\n

      Requests to access or rectify personal data, and other requests concerning the processing of personal data, must be submitted in writing to the controller\u2019s contact person at marja-leena.hamalainen@nbg.fi. The controller may request additional information, where necessary, to verify the identity of the data subject.<\/p>\n

      The controller will respond to requests within the time limit specified in the GDPR, generally within one month of receiving the request.<\/p>\n
